Privacy Policy

Meet Kaz, PBC (“Meet Kaz,” “Kaz,” “we,” “our,” or “us”) takes privacy seriously, especially because families may choose to share sensitive information about a child’s education, disability, services, and support needs.

This Privacy Policy explains how we collect, use, store, process, and share information when you use the Meet Kaz website, mobile applications, partner widgets, and related services (collectively, the “Services”).

Meet Kaz is designed primarily for parents, caregivers, advocates, educators, service providers, and other adults navigating special education. The Services are not intended to replace legal, medical, educational, or other professional advice.

1. Information We Collect

The information we collect depends on how you use Meet Kaz and which features you choose to use.

Account and Contact Information

If you create an account or are invited to Meet Kaz through an organization, we may collect information such as:

  • Your name
  • Email address
  • Phone number, if provided
  • ZIP code or general location information, if provided
  • Account authentication information
  • Organization membership or affiliation
  • User role, such as parent, caregiver, staff member, or administrator
  • Communication and notification preferences

You may be able to use certain features, including Guest Mode, without creating an account.

Child and Student Information

Personal Mode and certain organization-supported experiences allow you to create profiles for one or more children.

Depending on what you choose to provide, a child profile may include:

  • First name or nickname
  • Age, grade, or school year
  • School or school district
  • State or general location
  • Disability or special education eligibility information
  • IEP, 504 Plan, evaluation, or service information
  • Accommodations, modifications, related services, and supports
  • Educational goals and areas of concern
  • Behavioral, sensory, communication, or learning needs
  • Parent or caregiver priorities and preferences
  • Important dates, meetings, deadlines, or events
  • Other educational or family context you choose to save

Some of this information may be considered sensitive personal information, educational information, or health-related information.

You control what information you provide. Meet Kaz generally does not require complete legal names, Social Security numbers, insurance information, or other identifiers that are not necessary to provide the Services.

Conversations and Other User Content

We process the information you provide when communicating with Kaz, including:

  • Questions and prompts
  • Chat messages
  • Follow-up answers
  • Information about educational situations
  • Draft letters, notes, or other text
  • Feedback about Kaz's responses
  • Content submitted to support or reporting tools

If you use an account that supports conversation history, chats may be stored so you can return to them later and so Kaz can provide a more personalized experience.

Documents and Document Intelligence

Meet Kaz allows users to upload educational records and other documents.

These may include:

  • Individualized Education Programs (IEPs)
  • Full and Individual Evaluations (FIEs) or other evaluations
  • Section 504 plans
  • Prior Written Notices
  • progress reports
  • meeting notes
  • school correspondence
  • behavior plans
  • assessment reports
  • procedural documents
  • letters or advocacy materials
  • other education-related records

Uploaded documents may contain sensitive information about a child, including disability, diagnosis, behavior, health, education, services, family circumstances, or other personal information.

To provide Document Intelligence features, Meet Kaz may process a document to extract text and structured information, identify relevant dates or topics, create summaries, compare documents, generate machine-readable representations or indexes, and allow information contained in the document to be used as context when you communicate with Kaz.

The original document may be stored with your account until you delete it, delete the associated child profile or account, or another applicable retention rule applies.

Organization and Staff Information

If you use Meet Kaz through a school, nonprofit organization, advocacy organization, service provider, employer, or other sponsoring organization, we may collect information necessary to manage that relationship, including:

  • Organization name
  • User role
  • Account or invitation status
  • Assigned permissions
  • Staff activity associated with Meet Kaz
  • Administrative and usage information

Depending on the organization and the features being used, organization administrators may have access to certain administrative or usage information.

Being associated with an organization does not by itself mean that every conversation, child profile, or uploaded document is automatically visible to that organization. Access to specific content depends on the features, permissions, sharing choices, and organization configuration applicable to the account.

When a feature allows information to be shared with another person or organization, we aim to make that sharing clear within the Service.

Technical and Usage Information

When you use Meet Kaz, we may automatically collect limited technical information such as:

  • Device and browser type
  • Operating system
  • IP address
  • Application version
  • Approximate region derived from technical information
  • Login and authentication activity
  • Pages or features used
  • Error, diagnostic, and performance information
  • Security and fraud-prevention information

We use this information to operate, secure, troubleshoot, and improve the Services.

Communications

If you contact us, request support, participate in a demo, provide feedback, or communicate with us in another way, we may retain the communication and associated contact information.

Subscription and Transaction Information

If Meet Kaz offers paid subscriptions or other paid services, payments may be processed by an app marketplace such as Apple or Google or by another payment provider.

Meet Kaz may receive information necessary to confirm a purchase or subscription, such as transaction status, subscription level, renewal status, or a transaction identifier.

We generally do not receive or store your complete payment card number when payment is processed by a third-party payment provider or app marketplace.

2. How We Use Information

We use information collected through Meet Kaz to:

  • Provide, operate, and maintain the Services
  • Authenticate users and manage accounts
  • Create and maintain child profiles
  • Save conversations and documents when applicable
  • Provide personalized responses based on information you have chosen to save
  • Analyze, summarize, organize, compare, and retrieve information from uploaded documents
  • Allow Kaz to use relevant documents and child information as context when answering questions
  • Generate suggested questions and other personalized features
  • Retrieve current public information when web-enabled features are used
  • Communicate with users regarding accounts, support, security, and Service updates
  • Provide organization administration and reporting features
  • Detect abuse, fraud, security threats, and technical problems
  • Improve the quality, reliability, accessibility, and usability of Meet Kaz
  • Create aggregated or de-identified analytics
  • Comply with legal obligations and enforce our Terms of Service

We do not sell personal information or children's information.

We do not use a child's education, disability, diagnosis, or other sensitive information for targeted advertising.

3. Artificial Intelligence Processing

Artificial intelligence is a core part of Meet Kaz.

When you communicate with Kaz or use Document Intelligence, portions of your request, saved context, or uploaded document content may be transmitted to an artificial intelligence service provider so that the provider can process the information and generate a response.

Meet Kaz currently uses OpenAI technology for AI processing. Depending on the feature being used, this processing may include:

  • Generating conversational responses
  • Understanding user questions
  • Summarizing documents
  • Extracting relevant information
  • Comparing information across documents
  • Identifying dates, services, accommodations, goals, or other educational information
  • Using relevant child-profile or document context when answering a question
  • Generating search queries or processing retrieved public information for web-enabled answers

We limit the information sent for processing to information reasonably necessary to provide the requested feature.

Meet Kaz does not sell User Content to AI providers and does not intentionally opt User Content into programs that use it to train publicly available third-party AI models.

AI systems may sometimes generate incorrect information or misunderstand information contained in a document. The use of AI does not change your ownership of your uploaded documents or other User Content.

4. Web Search and Public Information

Some Meet Kaz features may retrieve information from publicly available websites or other external sources.

When web-enabled features are used, information from your request may be used to create a search or retrieval request. AI and retrieval providers may process that request as necessary to locate and summarize relevant public information.

Meet Kaz does not intentionally publish your private child profile, conversations, or uploaded documents to the public internet.

Because web content is controlled by third parties, information retrieved from the web may be incomplete, inaccurate, outdated, or changed after Kaz retrieves it.

5. Service Providers and Third-Party Processing

Meet Kaz relies on technology providers to operate the Services.

These providers may process information on our behalf only as necessary to provide their services to Meet Kaz.

Examples of our current providers include:

  • OpenAI, for artificial intelligence processing and related AI-enabled functionality
  • Supabase, for services such as authentication, database infrastructure, and data storage
  • Vercel, for web application hosting and delivery

We may also use providers for email delivery, security, analytics, customer support, payment processing, infrastructure, or other operational needs.

These providers may receive only the information reasonably necessary to perform services for Meet Kaz.

Our service providers may change over time as we improve the product. We will update this Policy when changes materially affect how personal information is handled.

6. Organization-Sponsored Accounts

Some users receive access to Meet Kaz through a partner organization.

A sponsoring organization may receive limited information needed to administer its Meet Kaz program, such as:

  • Whether an invited account has been activated
  • User type or role
  • General usage or engagement information
  • Aggregated program statistics
  • Information expressly shared through a collaboration or staff feature

Meet Kaz does not automatically send your private conversations or uploaded educational records to a child's school or school district simply because the school or district is mentioned in a child profile.

Where an organization has additional access to information because of a specific product configuration, user action, organizational agreement, or staff workflow, that access may be governed by additional notices or agreements.

7. Educational Records and Sensitive Information

We recognize that documents such as IEPs, evaluations, behavior plans, and school records can contain highly sensitive information.

We use reasonable safeguards designed to protect this information and limit its use to providing and operating Meet Kaz.

The legal status of educational information can depend on who provides it and the context in which Meet Kaz receives it.

When a parent or caregiver independently uploads their own copy of a child's educational records, that situation may differ legally from records provided directly by a school or educational agency.

When Meet Kaz provides services to an organization subject to educational privacy requirements, additional contractual terms, data-processing agreements, or applicable legal requirements may govern how information is handled.

Meet Kaz does not represent that every use of the Service is automatically governed by FERPA, HIPAA, or another particular privacy law merely because educational or health-related information is entered into the Service.

8. Guest Mode

Guest Mode allows certain Meet Kaz features to be used without creating a personal account.

Guest Mode is designed to minimize persistent personal information.

Guest conversations are not saved to a personal account or made available as persistent conversation history. However, limited technical information, security information, and temporary processing data may be handled by Meet Kaz or its service providers as necessary to deliver, secure, and operate the Service.

Users of Guest Mode should avoid entering names or other personally identifying information unless it is necessary for the question being asked.

9. Personal Mode

Personal Mode allows Meet Kaz to remember information you choose to save so that your experience can be personalized over time.

Depending on the features you use, Personal Mode may store:

  • Account information
  • One or more child profiles
  • Chat history
  • Uploaded documents
  • Extracted document information
  • Saved educational context
  • Preferences and other information you provide

This information can be used to provide more relevant responses without requiring you to repeat the same background information during every conversation.

10. How We Share Information

We may disclose information in the following circumstances:

Service Providers

We share information with infrastructure, storage, AI, security, and other service providers when necessary to operate Meet Kaz, as described above.

At Your Direction

We may share information when you intentionally use a feature to send, export, disclose, or collaborate on information with another person or organization.

Organization Administration

Limited information may be available to a sponsoring organization's administrators or authorized staff as described in this Policy and applicable organization agreements.

Legal and Safety Reasons

We may preserve or disclose information when we reasonably believe doing so is necessary to:

  • Comply with applicable law, legal process, or a valid governmental request
  • Protect the rights, property, security, or safety of Meet Kaz, our users, or others
  • Investigate fraud, abuse, or security incidents
  • Enforce our Terms of Service

Business Transactions

If Meet Kaz is involved in a merger, financing, acquisition, reorganization, bankruptcy, or sale of some or all of its assets, information may be transferred as part of that transaction, subject to applicable law and appropriate confidentiality protections.

11. What We Do Not Do With Your Information

Under our current practices:

  • We do not sell personal information.
  • We do not sell children's personal information.
  • We do not rent User Content to advertisers.
  • We do not use children's educational or disability information for targeted advertising.
  • We do not allow advertisers to access private conversations or uploaded educational records for advertising purposes.
  • We do not intentionally make private documents, conversations, or child profiles publicly accessible.
  • We do not intentionally opt User Content into third-party AI model-training programs.

If these practices materially change, we will update this Policy and provide additional notice or consent where required.

12. Data Security

We use administrative, technical, and organizational safeguards designed to protect information handled by Meet Kaz.

These measures may include authentication controls, access restrictions, encrypted network connections, secure infrastructure, monitoring, logging, and other security practices appropriate to the nature of the information being processed.

Access to production information is limited to personnel and service providers who need access for legitimate operational purposes.

However, no website, application, database, or transmission method can be guaranteed to be completely secure. Users should use appropriate care when deciding what information to provide.

13. Data Retention

We retain information for only as long as reasonably necessary to provide the Services, fulfill the purposes described in this Policy, comply with applicable obligations, resolve disputes, prevent fraud or abuse, and protect the security of the Service.

In general:

  • Account information is retained while your account remains active.
  • Child profiles remain associated with your account until you delete them or your account.
  • Saved conversations remain available until they are deleted or the associated account is deleted.
  • Uploaded documents remain available until they are deleted or the associated child profile or account is deleted.
  • Guest Mode does not provide persistent account-based chat history, although limited operational or security information may be retained temporarily.
  • Certain security, transaction, legal, or audit records may be retained for a longer period when reasonably necessary.
  • Deleted information may remain temporarily in secure backups or service-provider systems until normal backup and deletion cycles are completed.

Where an account is provided through an organization, certain information may also be subject to retention requirements established by that organization, an applicable agreement, or law.

14. Deleting Your Information and Account

You may delete individual information, documents, child profiles, or conversations where the applicable feature is available.

You may also request deletion of your Meet Kaz account and the personal information associated with it through the account deletion controls available within the app or by contacting us at hello@meetkaz.org.

When an account is deleted, we will delete or de-identify personal information associated with that account within a reasonable period, except for limited information that we are required or reasonably need to retain for legal, security, fraud-prevention, dispute-resolution, or similar legitimate purposes.

Deleting an account does not necessarily remove information that was previously exported or intentionally shared by you with another person or organization.

15. Your Privacy Choices and Rights

Depending on where you live, you may have legal rights regarding your personal information.

These may include rights to:

  • Request access to personal information we maintain about you
  • Correct inaccurate information
  • Request deletion of personal information
  • Obtain a copy of certain information
  • Withdraw consent where processing depends on consent
  • Object to or limit certain processing where applicable
  • Appeal certain privacy-request decisions where required by law

You may also:

  • Delete information directly through available product controls
  • Use Guest Mode for supported features without creating an account
  • Unsubscribe from non-essential marketing communications

We may need to verify your identity before completing certain requests.

16. Children's Privacy

Meet Kaz is designed for adults.

Parents, caregivers, advocates, educators, and other authorized adults may use Meet Kaz to store and process information about children, including children under 13.

Children should not create Meet Kaz accounts or independently submit personal information directly to Meet Kaz.

We do not knowingly seek to collect personal information directly from children under 13 through individual consumer accounts.

If we learn that a child has directly provided personal information to Meet Kaz in circumstances where parental or other legally required authorization was required and was not obtained, we will take appropriate steps to address the information, which may include deleting it.

Different requirements may apply where Meet Kaz is provided through a school or another organization under a separate written agreement.

17. Cookies and Similar Technologies

Our website and web applications may use cookies, local storage, or similar technologies to:

  • Keep users signed in
  • Maintain security
  • Remember preferences
  • Operate application features
  • Understand basic Service performance and usage

You may be able to control certain cookies through your browser or device settings. Disabling necessary storage or cookies may cause portions of the Service to stop working correctly.

18. Aggregated and De-Identified Information

We may create aggregated or de-identified information that is not reasonably intended to identify an individual child or user.

We may use this information to:

  • Understand how Meet Kaz is being used
  • Improve product functionality
  • Identify common areas where families need support
  • Measure program engagement or impact
  • Produce organization-level trends or reports
  • Conduct internal analysis and planning

We do not use de-identified information for the purpose of attempting to re-identify individual users or children.

19. International Users

Meet Kaz is operated from the United States, and our technology providers may process information in the United States or other locations where they operate.

If you use Meet Kaz from outside the United States, information may therefore be transferred to and processed in countries with privacy laws that differ from those in your location.

Where required, we will use appropriate mechanisms for international transfers of personal information.

20. Changes to This Privacy Policy

Meet Kaz will continue to evolve, and our privacy practices may change as we add or modify features.

We may update this Privacy Policy periodically. When we make material changes, we may provide notice through the Service, on our website, by email, or through another appropriate method.

The date at the top of this Policy indicates when it was most recently updated.
